Preparing for Report Card Export from Your IGP Grade Book to SASI in
the Office

The spreadsheets that can be imported by the office always
have a suffix, End of Term. To allow the office access to the grades for a particular
grading period you will put them into the appropriate End of Term spreadsheet.
You can enter these grades in one of two ways. One way is to simply open the
end of term spreadsheet, (for example the Progress Report end of term which
needs to be done early in September), and simply type in the appropriate grade
next to the corresponding student name. Since we have not had access to our
grade books until lately, this option might be the most attractive this
reporting period. However, for future reference, the easiest and quickest way
to put grades into the end of term spreadsheet is to use the Replace Task
command. This option lets you copy the current grade average for all of you
students from the present grading period spreadsheet directly into the proper
end of term spreadsheet. Directions to accomplish this command are below. The
steps seem numerous and cumbersome the first several times you do them, but
much less so with practice. Once you understand what is happening in the
process the whole procedure becomes less tedious.
Replacing Tasks
for end of term spreadsheets:
- Prior to any end of
term work, double check the grades in your class spreadsheets. Check one
or two student grades in each class to be sure the grades line up with
what you have in mind. InteGrade calculates grades as you direct it, but
what you think you have told it to do, and what you have actually told it
to do, are not always the same. Do some double checking and spot checking
in order to save yourself some aggravation later on
- After
you have spot checked some grades and are ready to record grades on the
end of term spreadsheet, open the appropriate end of term spreadsheet (First
Nine weeks end of term spreadsheet if it is the end of the first nine
weeks reporting period)
- When
this spreadsheet is opened you will see student names in the left column
- We
will be working with the second column, entitled 1st 9wk Grade
- Near
the title of this column you will see and upside down triangle
- Click
this triangle and you will see a popup menu appear
- Choose
from the popup menu, Replace Tasks
- The
Replace Task window will open and you must navigate to the spreadsheet
from which you want to copy tasks (grades in this case). For example, for
the 1st Nine Weeks EndTerm in Math, I
must navigate to the 1st Nine weeks Math spreadsheet
- The
class from which you want to copy will come up automatically, but you must
select the appropriate spreadsheet (example Math 1st Nine
Weeks)
- Click
Next
- Select
the appropriate spreadsheet again and click next
- Choose
Percentage from the next window and click next
- The
next window that opens allows you to hotlink the end of term spreadsheet
with the corresponding weighted spreadsheet. I do not recommend you do
this until you have read about the pros and cons to hot linking in the
InteGrade help section
- Click
OK
- Grades
from the chosen spreadsheet should now appear in the appropriate column in
the end of term spreadsheet
- You
must now do this for each class
IMPORTANT NOTE
FOR PE, HANDWRITING, ART, AND MUSIC:
In order for EndTerm
grades to print the exploratory class grades (PE, Handwriting, Art, Music)
properly, whether using SASI or Integrade, (in other words, printing a letter,
S, N, or U, rather than a number as the academics classes should), you should
either type the grades into the end-of-term spreadsheet manually, or follow the
replace task process with
only one change: rather than choose Percentage in the third step, choose Letter Grade
