Scheduling a Report

 

For those of you who have to wait and wait and watch the little green circle spin (interminably) as your report is being generated (supposedly), and often timing out with a 502 or 504 error, this option my be very appealing. It allows you to setup the report you want, and then have it emailed to you the next morning. It is sort of like Call-ahead seating at a restaurant. The only drawback is that there is an overnight delay. Here is how it works:

 

*      Login to the OAS as you would normally do to generate a report (as a teacher)

*      Click on the Reports tab

*      At the bottom of the Reports Menu page, select Schedule a Report

*      Choose Schedule a New Report

*      Select the type of report you want (usually Item Analysis)

*      On the next page, leave Class level tests selected and click Next

*      Put a check in the box next to your class name and click Next

*      Choose the test for which you want a report and click Next (remember the blue bar is for navigation; tests are listed alphabetically and test names that start with numbers are on the right-hand side of the blue bar)

*      Click Next in the next window (the default is for all of your students to be selected)

*      In this window, Scheduling Details, bubble in the choice Once (the screen will refresh)

*      On the next page you get to choose what time of the day the report will be generated. Notice it CANNOT be generated during the school day. It can only be generated between 5 PM and 5 AM. You can leave the default 11 PM chosen and click Next

*      Notice the panel on the left lets you navigate backward and forward through the report scheduling wizard, in case you make a mistake or want to change something

*      Be sure to put a check in the box next to Email this report. The present date will appear in the rectangle box above; leave it as it is

*      Click Submit

*      In this window, Delivery Options, type in your school email address in the To box, and click Next

*      Finally, click on the silver Schedule this report button (remember the navigational panel on the left should you need to make changes)

*      Log out

 

The following morning, in your email, you will receive an email from OAS with a PDF file attachment. This attachment is your report. Open (or Save) this attachment and print it. The first report I scheduled and had emailed to myself did NOT appear in my email the next morning. See the note below for the explanation

 

VERY IMPORTANT NOTE: The following morning I found my email from OAS in the webmail Spam folder. It is very likely yours too will be there. To prevent it going there again, put a check in the box next to the OAS email, and then scroll to the bottom of the Spam folder window and find the Move dropdown menu. Click on this dropdown and choose White list sender. The OAS email will automatically be moved to your webmail Inbox (and then downloaded to your computer the next time you check email or click Send and Receive), and any further reports from OAS will not be put into the Spam folder
